Account Information: Name, email address, company/agency name, and password when you create an account.
Trip & Client Data: Itinerary details, client information, proposal content, and related business data you enter into the platform.
Usage Data: How you interact with TravNomad, including features used, pages visited, and actions taken within the platform.
Device & Technical Data: Browser type, IP address, device information, and cookies for maintaining your session and improving the service.
Payment Information: When you subscribe to a paid plan, payment is processed by our third-party payment processor (Stripe). We do not store your full credit card details.
2. How We Use Your Information
We use collected information to:
- Provide, maintain, and improve the TravNomad platform
- Process your transactions and manage your subscription
- Send service-related communications (account updates, security alerts, feature announcements)
- Generate AI-powered itineraries and proposals based on the data you provide
- Analyze usage patterns to improve our product and user experience
- Provide customer support and respond to your inquiries
- Ensure platform security and prevent fraud
We do not sell your personal information to third parties. We do not use your client data to train AI models. Your trip and client data remains yours.
3. AI Data Processing
When you use our AI Trip Builder and related features:
- Your prompts and input data are sent to our AI service providers (currently OpenAI) to generate itineraries and content.
- We use commercially licensed AI APIs with data processing agreements that prevent the AI provider from using your data for model training.
- Generated content (itineraries, suggestions) is stored in your account and associated with your agency.
- You retain full ownership of all content generated through TravNomad.
4. Data Sharing
We share your information only in these circumstances:
Service Providers: We use trusted third-party services (hosting, payment processing, AI APIs, email delivery) that process data on our behalf under strict data processing agreements.
Client-Facing Features: When you publish a proposal or share a trip portal link, the content you choose to include becomes accessible to anyone with the link.
Legal Requirements: We may disclose information if required by law, regulation, or legal process.
Business Transfers: In the event of a merger, acquisition, or sale, your data may be transferred as part of the business assets, with continued protection under this policy.
5. Data Security
We implement industry-standard security measures:
- All data is encrypted in transit (TLS 1.3) and at rest (AES-256)
- Role-based access controls limit data access to authorized personnel
- Regular security audits and vulnerability assessments
- Audit logging of all administrative actions
- Secure infrastructure hosted on enterprise cloud providers

- Trip and client data is permanently removed within 30 days
- Backups containing your data are purged within 90 days
- Anonymized, aggregated analytics data may be retained indefinitely
9. International Transfers
TravNomad serves users globally. Your data may be processed in countries other than your own. We ensure appropriate safeguards are in place, including Standard Contractual Clauses for transfers from the EU/UK, and compliance with applicable data protection laws.

We may update this Privacy Policy periodically. We will notify you of significant changes via email or a prominent notice on our platform. Continued use of TravNomad after changes constitutes acceptance of the updated policy.
